How to respond to a client in WHMCS

This post provides a comprehensive guide on how to effectively respond to clients using the WHMCS ticketing system.

  • Access the Dashboard:
    • Log into the WHMCS dashboard.
  • Locate Your Assigned Ticket:
    • At the top of the page, you’ll find a section displaying your assigned tickets.
  • Open the Ticket:
    • Click on the assigned ticket to view the conversation feed, which shows the chain of replies between you and the client.
  • Find the Message to Reply To:
    • Browse the feed and identify the specific message you want to respond to.
  • Click the Comment Button:
    • On the top-right corner of the message box, click the comment button. This action will copy the message into the reply box at the top of the page.
  • Scroll Back to the Top:
    • After the message is copied, scroll back to the top of the page where you’ll see the message pasted in the reply box.
  • Prepare the Reply Box:
    • Position your cursor at the beginning of the text in the reply box. Press “Enter” a few times to create space for your message.
  • Begin Your Response:
    • Start your message with “Hi [client’s first name],” and proceed with your reply.
  • Select the Appropriate Response Status:
    • Once your message is complete, go to the response status dropdown menu located below the reply box on the right. Choose the status that best fits the situation.
  • Send Your Response:
    • After selecting the status, click the “Reply” button to send your message.
  • Confirmation and Notification:
    • You’re all set! You’ll receive an email confirming your response, and you’ll be notified when the client replies to the ticket as well.
